Observations and Student History

Audience: Administrators and Guides.

Overview

Click Observations in the top menu. The page is a single History feed showing everything recorded for a student in one timeline.

Reading the history feed

Choose a classroom, then choose a student from the list on the left. Entries appear newest first.

  • Workspace: a progress entry recorded from the Workspace.
  • Attendance: a check-in or check-out.
  • Ad-Hoc: a free-form observation written on the Observations page.

Each entry can show the guide's name, date, note, and photo. Click a photo to view it at full size. More entries load automatically as you scroll.

Use the search icon to search notes and work names. Use Filter to narrow the feed by date range, entry type, or Only Show Items With Photos. You can also switch to oldest-first order.

Adding an observation

  1. Choose the student. Their name appears at the top of the feed.
  2. Type in Write an observation.
  3. Optionally click the camera button to attach a photo.
  4. Click Add Observation.

The new observation appears at the top of the feed immediately.

Editing entries in the feed

  • Pencil: edit the note.
  • Envelope: share the entry by email.
  • Calendar: change the date.
  • Trash: delete the entry.

Good to know: Attendance entries cannot be edited. You can only change or delete entries that you created yourself.

Adding history for a past date

There are three ways to record something that happened earlier:

  • Quick Entry: on the Workspace, change the date before saving. This is best when recording several students or works at once.
  • Progress note panel: click a progress circle, then use the calendar icon in the panel to choose the correct date.
  • Existing entry: open the work's History or find the entry in the Observations feed, then use the calendar icon to correct its date.

Good to know: A student's displayed progress always reflects their most recent entry. Adding an older entry does not move the displayed progress backward; the older entry is simply added to the history.
