Managing Students

Audience: Administrators and Guides. Deleting students is for administrators only.


Overview


Click Students in the top menu to see the students in your school. Use this page to search, sort, filter, count, and export students, and to manage each student's profile.


The Students page


  • Classroom: view one classroom or All Classrooms.
  • Status: view All Students, Enrolled Students, Unenrolled Students, or, for administrators, Deleted Students.
  • Student count: shows how many students match the current view, such as Students: 24.
  • Search: use Search students by name to find a student quickly.
  • Sort by: First Name, Last Name, Age (oldest or youngest first), or Date Added (newest or oldest first).
  • A status dot shows whether a student is Enrolled, Unenrolled, or Deleted.
  • More students load automatically as you scroll; there are no page numbers.
  • Use Export to download the current view as a CSV spreadsheet.


Adding a new student


  1. Click Add Student at the top right, then choose Add New Student. When viewing All Classrooms in a multi-classroom school, the form opens directly.
  2. If you want, click Browse for Photo and add the student's picture.
  3. Enter the student's First Name and Last Name.
  4. Choose the Classroom. If you were already viewing a classroom, it is selected automatically.
  5. Use the session/day grid to select the sessions the student attends on each day, such as AM Session, Lunch, or PM Session.
  6. Click Add Student.


The student is created and enrolled immediately.


Adding an existing student to another classroom


  1. Select the classroom using the Classroom filter.
  2. Click Add Student, then Add Existing Student.
  3. Choose the student, select their sessions and days, and click Add Student.


Enrolling and unenrolling


You can enroll or unenroll students directly from the Students list.


  • When viewing one classroom, each student row has an Enroll or Unenroll button.
  • When viewing All Classrooms, each row has an Enroll/Unenroll menu showing the student's status in every classroom. Select a classroom to enroll or unenroll the student there.
  • Unenrolling asks for confirmation first.
  • Unenrolling does not delete the student's records. Their information and history stay in the account, and they can be enrolled again later.
  • After enrolling or unenrolling, the page keeps the selected classroom filter so you do not lose your place.


The student profile


Click a student's name or the pencil icon to open the profile. The main student information is available in one place:


  • Profile: photo, name, status, birthday, gender, and primary contacts. Use Edit Student to change the photo, name, birthday, or gender.
  • Contacts: use Add Contact to add a Parent, Family Member or Friend, or Medical Contact. Phone numbers and pickup permission can be recorded.
  • Allergies: use Add Allergy to record an allergy and whether it is anaphylactic.
  • Enrollments: see every classroom the student belongs to. You can Unenroll, Edit Sessions, or use Add Enrollment to add another classroom and choose sessions and days.


Deleting and restoring students


Note: Deleting students is for administrators.


  1. Open the student's profile.
  2. Click the menu next to Edit Student and choose Delete Student.
  3. Read the warning and confirm the deletion.


A deleted student is not removed immediately. To restore one:


  1. On the Students page, set the Status filter to Deleted Students.
  2. Find the student and click Restore.


Good to know: A deleted student can be restored for 30 days. After 30 days, the student and all of their history are permanently removed.


Deleting many unenrolled students at once


Note: This option is for administrators and is available for unenrolled students.


  1. On the Students page, set Status to Unenrolled Students and Classroom to All Classrooms. Checkboxes appear beside the students.
  2. Select the students you want to remove, or use the header checkbox to select everyone shown. If more matching students exist than are currently shown, the page offers an option to select all matching students.
  3. Click Delete Selected, then Delete Students.
  4. Read the confirmation, then click Delete Students.


The students move to Deleted Students and can be restored within 30 days.
